1. Introduction

Scape-Ology LLC ("we," "us," or "our") operates Fleet King AI. This policy explains information handling for our fleet, equipment, facilities, and HVAC tools, including designated sandbox environments. It describes our practices; consent for optional device location is requested separately.

2. Information We Collect

Information processed through the Service includes:

• Accounts: Names, email addresses, organization and membership information, roles, and authentication information.
• Billing: Billing details processed by Stripe for paid services. We do not store full payment-card numbers.
• Operational records: Asset and serial identifiers, sites, equipment details, service history, costs, vendors, work requests, approvals and spending limits, preventive schedules, budgets, and labor entries.
• Uploads and AI requests: Invoices, PDFs, photos, attachments, notes, questions, and the operational context submitted for automated processing.
• Optional location: Device-reported latitude and longitude, capture times, and accuracy associated with a labor timer, when location capture is enabled and permission is granted.
• Technical information: Browser and device information, IP addresses and service logs generated by supporting infrastructure; browser-stored settings and session information.
• Communications: Support requests and messages submitted through the Service.

3. How We Use Your Information

We use your information to:

• Provide, operate, and improve the Fleet King AI Service
• Process your subscription payments through Stripe
• Analyze your uploaded fleet data to generate AI-powered insights
• Send service-related communications, including subscription confirmations and support responses
• Comply with legal obligations
• Detect and prevent fraud or unauthorized access

4. Data Storage and Security

Fleet King uses Supabase for database, authentication, and file storage, and Netlify for website hosting. Access controls include organization membership, roles, and database row-level security policies. Available sign-in methods and multi-factor verification depend on the environment and account configuration.

We use reasonable safeguards to protect information. No system is completely secure, and a provider's certifications do not certify Fleet King itself. You are responsible for safeguarding credentials and controlling workspace access.

5. Data Sharing

We do not sell your personal information or fleet data. Information may be disclosed to:

• Supabase: Database, authentication, and file storage infrastructure.
• Netlify: Website hosting and associated technical request processing.
• Anthropic: AI requests, selected records, questions, document content, and context sent to the Anthropic API to generate analysis or extract information. Processing is subject to the applicable API service terms and data practices.
• Stripe: Payment processing for paid services.
• Sign-in providers: Google or Apple when you choose an enabled provider.
• Authorized workspace users: Operational records, attachments, labor entries, approvals, and associated location evidence according to the available workspace permissions.
• Recipients you select: Reports or work-order information you choose to send or export using email, text, device sharing, printing, or downloads. External mail and messaging services process content you send through them. Map links send the selected coordinates to the map provider when opened.
• Authorities: When legally required or necessary to protect legal rights.

6. Data Retention

We retain your account information and fleet data for as long as your subscription is active. Following termination or cancellation of your account, we will retain your data for 30 days, after which it may be permanently deleted. You may request earlier deletion by contacting us at legal@scape-ology.com.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal information we hold about you
• Correction: Request correction of inaccurate information
• Deletion: Request deletion of your personal information
• Portability: Request a machine-readable export of your data
• Objection: Object to certain processing of your data

8. Cookies and Tracking

Fleet King uses local storage, session storage, and authentication tokens for sessions, workspace settings, work mode, saved preferences, and features such as remembering whether the welcome introduction was shown. Settings may differ between devices and browsers. Clearing browser data may remove these settings or sign you out. We do not use advertising cookies or track activity across third-party websites for advertising.

9. Children's Privacy

Fleet King AI is a business-to-business service not intended for individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected information from a minor, we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes via email or prominent notice within the Service. The effective date at the top of this policy reflects the most recent revision.

11. Location and Shared Workspaces

Location capture is optional. When enabled for a running labor timer and permitted by the device, Fleet King records location samples with timestamps and accuracy and saves them with the labor entry. Authorized workspace members may view this evidence. Sampling may have gaps, especially indoors, in the background, or when the device suspends the page. Samples do not establish continuous presence.

You can disable capture or revoke device or browser permission to stop future collection. This does not delete already saved samples. Contact your workspace administrator or us about access, correction, or deletion requests. Organizations are responsible for appropriate worker notices and any permissions required for their use of location and labor records. A device permission prompt does not replace those responsibilities.

12. Sandbox Environments

Designated sandboxes use separate test accounts and storage from the live workspace. Use synthetic or non-sensitive test information. Sandbox use is not anonymous: account information, submitted records, technical requests, and enabled location samples may still be processed. AI requests are sent to Anthropic when AI features are used. Sandbox payments are disabled. Test information may be reset during development; do not use the sandbox as your only record repository.
